Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

To provide administrative support and services to all members of the Practice team.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job Description

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
  • Answer the phone, dealing with all general enquiries and explain practice procedures
  • Divert calls and take messages, ensuring accuracy of detail
  • Make new and follow-up appointments
  • Access and update patient records
  • Contact patients to survey online access, with a view to moving them to online services, i.e. Prescriptions
  • Manage registrations of new patients, explaining practice arrangements procedures
  • Manage referrals of patients from other surgeries, updating patient records and completing any associated paperwork and electronically file copies of referrals
  • Action repeat prescription requests and ensure that they are sent electronically
  • Advise patients of relevant charges for private services, accept payment and issue receipts
  • Enter patient information on to the computer as required
  • File and retrieve paperwork
  • Electronically file hospital letters
  • Scan letters and relevant correspondence into patient's notes
  • Summarise patient's notes when requested
  • Photocopy data
  • Ensure security of data at all times
  • Using your own judgment and communication skills to ensure patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner
  • Undertaking any other additional duties as requested by the Partners or the Operations Manger
