The managing director plays an active part in looking after the needs of customers within the business. It is therefore important that he has someone to rely on when it comes to the administration behind his customers needs.

Your role will be varied, some of the duties included:

  • Booking delivery of vehicles to clients
  • Raising invoices
  • Raising finance documents onto the company CRM systems
  • Issuing finance documents electronically
  • Uploading delivery information to company CRM systems
  • Running reports that support the needs of the MD and the wider business
  • Liaising with dealers and customers by telephone and email
  • Taking effective messages and ensuring immediate and effective transfer
  • Dealing with occasional inbound sales enquiries recording accurate information for transfer to the sales
  • Other administrative duties to help support the effective day to day running of the organisation

It is really important that you are comfortable on the telephone as the majority of our business is carried out using this communication method.

As a business who rely heavily on our communication and customer service skills, it is important that you understand how vital this part of the role is to the business. Being able to communicate at all levels effectively, professionally and politely is key. A friendly and approachable manner is important and a willingness to go the extra mile for the clients to ensure satisfaction and repeat custom.

You should have an eye for detail as it is very important that our customers needs are met with the greatest of accuracy.

A good understanding of Microsoft packages would be a requirement to support the administrative function of the business.

Full level 3 Business Administrator Apprenticeship Standard.

Including Functional Skills if required.

You will work with expert assessors to develop new knowledge, skills and behaviours within the administrative profession.

You will gather all learning evidence, journals and off-the-job records using your e-portfolio (OneFile).

At the end of the planned learning period, you along with your employer and training provider will agree that you have completed all learning elements and are ready to enter Gateway and for your End Point Assessment to be arranged.

As this business continues to grow and go from strength to strength, our Director needs someone that can help manage the administrative workload attached to his role. We are looking for someone with confidence as this is a role with heavy telephone use and with attention to detail.
